The Biesterfeld Group

Biesterfeld AG, headquartered in Hamburg, is an internationally leading distributor of plastics, rubbers, and specialty chemicals, offering technical expertise and consulting services for a wide product portfolio. Founded in 1906 as a trading and service company, the fully family-owned business currently employs more than 1,100 people at over 50 locations across Europe, North and South America, Asia, and Africa.

The Initial Situation

Biesterfeld was looking for an implementation partner for the introduction of SAP GTS (Global Trade Services). The project scope included a wide range of regulations such as the EU-Russia embargo, long-term embargo, Rotterdam Convention, Chemical Weapons Convention, German Export List, EU Dual-Use Regulation, Basic Substances Monitoring Act (GÜG), US re-export, and generic prohibition law. A major challenge was the high complexity of the undertaking.

The Goal

The goal of the project was to implement GTS with integration into SAP EHS and SAP ERP. This also included integrating new SAP GTS functionalities, such as SAP GTS Foreign Trade, into daily operations. The logistical processes and compliance requirements needed to be analyzed, and the resulting target business processes were to be designed in such a way that a Europe-wide roll-out would be possible.

Challenges

  • Reimplementation of SAP GTS
  • Integration of SAP GTS into the existing SAP ERP
  • Integration of SAP EHS for automatic substance-level classification
  • Reduction of manual processing steps
  • Development of Biesterfeld's own trade control content: More than 10,000 CAS numbers and HS codes
  • Customer-specific compliance checks
  • Consideration of logistical special processes
  • Mapping of intercompany business
  • Expansion of SAP GTS standard functions:
    • ABAP rule frameworks for automatic classification
    • SAP GTS license management suggestion system
    • Compliance block workflow with detailed emails for key users
    • Control of SAP GTS follow-up functions such as order and delivery in the SAP ERP sub-system

Customer Benefits

  • Optimal support for classification activities and compliance responsibilities at Biesterfeld
  • Savings in time-consuming routine tasks, allowing more time for complex processes
  • Development of the SAP GTS EU template for accelerated roll-out in additional EU countries
  • Implementation using SAP GTS standard
  • Easy scalability for additional functionalities (preferences, sanctions lists, and customs) and regulations

The Solution

Together with SI PRO, concepts were developed for the implementation and creation of the required master data in SAP GTS and SAP EHS.

With the EHS-GTS connector, Biesterfeld has a solution that connects SAP GTS with either SAP EHS or SAP ERP systems, as explained by Mrs. Gretha Brand (Manager Export Control). Selected data is extracted from the source system, evaluated, and fed back into SAP GTS. In the chemical industry, the SI PRO EHS-GTS connector is primarily used in product classification. It relies on key data, which is processed for SAP GTS and reduced to the legally relevant trade information. Thus, the EHS-GTS connector takes on a significant portion of master data maintenance in SAP GTS, making it a great relief in the automated classification of materials.
